Reset staff POS passcode (POS terminal access)
Learn how to change or reset a staff’s POS PIN or passcode with the Eats365 POS or Merchant Portal.
Setting a unique passcode for each staff member's POS access is essential for maintaining secure and traceable system activity in order details and reports. Typically, a staff member sets their passcode (PIN or passcode, depending on your configured preferences) during the creation of their staff profile.
If a staff member forgets their passcode or a passcode reset is necessary, you can update their PIN or passcode if the role assigned to your account has the “Staff List” permission enabled. Staff members can also update their own POS passcode using the Eats365 POS terminal.
In this article, you’ll learn how to update your own or a staff member’s POS PIN or passcode through the Eats365 POS and Merchant Portal.
Change a staff member’s POS passcode (Managers)
To update a staff member’s PIN or passcode for the POS, follow the steps below:
Eats365 POS
- Log in to the Eats365 POS.
- At the top left, tap Settings

- Under “Staff,” tap Users and Permissions
Staff List.
- Select the name of the staff member that you want to update the information. Tap the three-dot menu

- Update the staff member’s passcode.
- At the top right, tap Update to confirm.
Merchant Portal 2.0
- Log in to the Merchant Portal.
- On the left panel, click on Staff
Staff List.
- Click on the name of the staff that you want to update the information. Alternatively, next to the staff’s name, you can click on Edit
.
- Update the staff member’s passcode.

Passcode: Enter a 6-digit numeric code.

PIN: Click on Reset, then enter a numeric PIN that meets your organization's required character length. Refer to Configure POS login preferences to learn more.

Passcode: Enter a 6-digit numeric code.
- At the top right, click on Save to confirm.
Change your own POS passcode (Staff members)
To update your passcode for the POS, follow the steps below:
- Log in to the Eats365 POS.
- At the top left, tap Settings
.
- Under “Staff,” tap Users and Permissions.
- Under “My Account,” enter the required 6-digit numeric passcode:
- Original Password
Note: This pertains to your current passcode. - New Password
- Confirm Password
- Original Password
- At the top right, tap Confirm Password to confirm.
